JOB DESCRIPTION

JOB TITLE: Junior Port Agent

COMPANY: MH Bland SL.

DEPARTMENT: Operations Department Bilbao

REPORTS TO: Operations Manager

PURPOSE:

Co-ordinate /act upon all vessel´s requirements on behalf of the Principal including services such as commercial/port calls, husbandry and ancillary services.

Ensure that the Principals´ interests are protected at all times and always keeping close contact with all parties involved in operation to Provide our principals with the high standard of service, they are already accustomed to, in order to meet their requirements wherever they are needed.

KEY DUTIES & RESPONSIBILITIES:

  • Liaising with suppliers/customers/authorities on vessel’s requirements.
  • Assisting with monitoring vessel/cargo operations and ensure smooth turnaround of the vessel.
  • Assist the Office Manager in the communication flow of intensive tasks, including vessel operation, cost verification, documentation, billing and follow-up with local parties
  • Assist with Keeping the Principal advised of all operational movements.
  • Preparare, review and scrutinize estimated Proforma D/A on behalf of our principals.
  • Collaborate with Finance team to ensure correct timely allocation of invoices and remittances from local suppliers and Disbursement Account submission to principals.
  • Monitor the receipt of advance funding from customers and actively follow up by sending reminders to accounts team.
  • Handle key and high - volume principals.

In addition to the above, the jobholder will be required to perform other duties which may be assigned by the company from time to time.

In carrying out all the above, the jobholder will always adhere to ISO9001 objectives and will comply with all departmental and company requirements, procedures and policies as stated in the Quality Manuals. A clear understanding of the Quality Manuals and Work Instructions is essential. At all times, the jobholder should operate in the interests of the company and its customers.

REQUIREMENTS 

  • Minimum 1 year of experience as Port Agent and/or Operator in the Maritime would be valuable.
  • Excellent telephone manner and communication skills, both written and verbal
  • Fluency in English and Spanish, both written and oral, fluency in Basque would be also valuable.
  • Duty work on weekly basis. Roster system to work weekends and Public Holidays
  • Good organization skills
  • Holding of clean driving license is essential Class “B”. Own vehicle
  • Swimming Essential.
  • Good all-round skills in MS Office applications and any other software used in the Agency Department. Ability and willingness to learn any new tools brought into the department.
  • Technical awareness, i.e. able to comprehend the operating system environment used in the department.
  • Ability to manage own time.
  • Be able to work as part of a team as well as independently.
  • Ability to multitask.
